Data Privacy Statement regarding the Online Application Process in the Hannover Re Group
This Data Privacy Statement provides details about how the Hannover Re Group (Hannover Rück SE, E+S Rückversicherung AG) – hereinafter Hannover Re – handles information that is provided to it through the Applicant Portal in connection with an application. Hannover Rück SE operates the Applicant Portal for all companies within the Hannover Re Group at the Hannover location.
In this context, personal data are collected and processed in conformity with the relevant data protection provisions, in particular the EU General Data Protection Regulation (GDPR) and the Federal Data Protection Act (BDSG). Information is provided below regarding, in particular, the nature, scope and purpose of use and application of the personal data transmitted during an application process.

2. Nature, scope, purpose and legal basis of the processing of personal data
2.1 Hannover Re records the information required for an application process on the pages of the Applicant Portal. These particulars consist of personal data such as name, address and e-mail address and details relating to educational background and professional career. In addition, you have the option to upload individual application documents (cover letter, curriculum vitae, references). The specified information is added to the Hannover Re applicant database "My Applicant Portal" and stored there. We collect your personal data directly through registration in the Applicant Portal. Your personal data may also be transmitted to us by recruitment consultants or temporary employment agencies.
2.2 Hannover Re uses the transmitted data solely for the purpose of applicant selection. These data may also be used for time-limited preservation of evidence in the case of unsuccessful applications as well as to establish and defend against legal claims.
2.3 Your data are not anonymised or pseudonymised for an ongoing application process.
2.4 The legal bases for processing operations involving your personal data are:

2.4.2 § 26 (1) BDSG in conjunction with Art. 6 (1) letter b) GDPR (registration in the Applicant Portal for information purposes, implementation of an application process, where relevant commencement of an employment relationship)
2.4.3 Art. 6 (1) letter f) GDPR (preservation of evidence in the case of unsuccessful applications, establishing and defending against legal claims).
3. Data processing within Hannover Re
3.1 Within our corporate group only the persons and bodies involved in the application process have access to your data (employees in Human Resources Management as well as managers with an ongoing appointment process, as appropriate the representative for employees with disabilities). As part of the recruitment procedure the Employee Council may additionally receive access to the data.
3.2 Within our corporate group your application data are processed by Human Resources Management.
4. Data processing by service providers of Hannover Re
4.1 The data collected in this Applicant Portal are only passed to entities outside Hannover Re if they are integrated into the application process or if this is necessary for the smooth implementation of the process, for example for system maintenance or server provisioning. In this context, the data are processed solely by contractually bound service providers. Personal data is passed on for a specific purpose in the context of job processing in accordance with the relevant provisions of data protection law. These entities are located in Germany / the European Union and subject to German law / European Union law. You may inquire about the contractors and service providers that we commission by writing to our Human Resources Management department at the address indicated in Item 1 and including the additional address line "Applicant Management".
4.2 Consultants such as tax advisers, accountants or lawyers who support us in the fulfilment of our legal obligations or in safeguarding our legal or economic interests may similarly receive access to your data only to the extent that is necessary.
5. Identifying data and data security
5.1 When a user accesses the website, possible identifying data and other particulars may be stored. Hannover Re will treat this information as strictly confidential and reserves the right to use these data solely for statistical purposes. The Applicant and Job Portals of Hannover Re do not include any ActiveX elements. Cookies are used only for interactive functions such as the Applicant Portal or for activation of the notification service "Job Subscription". All other cookies are deleted automatically when the Internet browser is closed. Personal data are always transmitted with SSL (Secure Sockets Layer) encryption.

6. Erasure of data
Hannover Re points out that, as a general principle, an application is not erased during an ongoing application process. Hannover Re will store the data provided in connection with the application process (cover letter, curriculum vitae, references, application form and the associated correspondence) for a period of six months after completion of an ongoing application process and subsequently erase them.
If we do not receive fresh consent from you, your applicant account in the Applicant Portal will be deleted after six months. This also extends to any applicant profile that may be stored in the applicant pool.
7. What data protection rights – so-called data subject rights – can you assert?
You have the right to require access to the data stored on your person at all times. Inquiries may be addressed to the data controller responsible for data processing in connection with application management specified under Item 1.
Furthermore, under certain circumstances you may require the rectification or erasure of your data or do this yourself via the Applicant Portal. In addition, you may have a right to restrict the processing of your data as well as a right to receive the data that you have provided in a structured, commonly used and machine-readable format.

8. Right to complain
You have the option to complain to the aforementioned Data Protection Officer or a responsible data protection supervisory authority.

9. Right to object
If we process your data to safeguard legitimate interests, you may register your objection to this processing with the data controller responsible for data processing in connection with application management ("Applicant Management") specified under Item 1 or with our Data Protection Officer at the address specified above or via e-mail, insofar as your particular situation gives rise to reasons that oppose data processing. In this case we will no longer process your personal data, unless we are able to demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms or the processing serves the establishment, exercise or defence of legal claims.
10. Amendment of the Data Privacy Statement
If Hannover Re amends the Data Privacy Statement, these amendments will be published on the website with the current date.
