Data Privacy Statement regarding the Online Application Process in the Hannover Re Group

This Data Privacy Statement provides details about how the Hannover Re Group (Hannover Rück SE, E+S Rückver­siche­rung AG) – here­inaf­ter Hannover Re – handles informa­tion that is provi­ded to it through the Appli­cant Portal in connec­tion with an appli­cation. Hannover Rück SE operates the Applicant Portal for all companies within the Hannover Re Group at the Hannover location.
In this context, personal data are collected and processed in confor­mity with the relevant data protec­tion provi­sions, in parti­cular the EU General Data Protection Regulation (GDPR) and the Fede­ral Data Protec­tion Act (BDSG). Infor­mation is provi­ded below regar­ding, in parti­cular, the nature, scope and purpose of use and applica­tion of the personal data trans­mitted during an appli­cation process.

2. Nature, scope, purpose and legal basis of the proces­sing of personal data

2.1 Hannover Re records the informa­tion required for an applica­tion process on the pages of the Appli­cant Portal. These parti­culars consist of personal data such as name, address and e-mail address and details relating to educational back­ground and professional career. In addition, you have the option to upload individual applica­tion docu­ments (cover letter, curriculum vitae, references). The speci­fied infor­mation is added to the Hanno­ver Re applicant database "My Applicant Portal" and stored there. We collect your personal data directly through registration in the Applicant Portal. Your personal data may also be transmitted to us by recruitment consultants or temporary employment agencies.

2.2 Hannover Re uses the trans­mitted data solely for the purpose of appli­cant selec­tion. These data may also be used for time-limited preservation of evidence in the case of unsuccessful applications as well as to establish and defend against legal claims. 

2.3 Your data are not anony­mised or pseudony­mised for an ongoing applica­tion process.

3. Data proces­sing within Hannover Re

3.1 Within our corporate group only the persons and bodies involved in the applica­tion process have access to your data (employees in Human Resources Management as well as managers with an ongoing appointment process, as appropriate the represen­tative for employees with disabi­lities). As part of the recruit­ment procedure the Employee Council may additio­nally receive access to the data.

3.2 Within our corporate group your applica­tion data are processed by Human Resources Management.

4. Data proces­sing by service providers of Hannover Re

4.1 The data collected in this Applicant Portal are only passed to entities outside Hannover Re if they are inte­grated into the application process or if this is necessary for the smooth implemen­tation of the process, for example for system main­tenance or server provi­sioning. In this context, the data are processed solely by contrac­tually bound service providers. Personal data is passed on for a specific purpose in the context of job pro­cessing in accor­dance with the relevant provi­sions of data protection law. These entities are located in Germany / the European Union and subject to German law / European Union law. You may inquire about the contrac­tors and service providers that we commission by writing to our Human Resources Manage­ment department at the address indicated in Item 1 and including the addi­tional address line "Applicant Manage­ment".
4.2 Consultants such as tax advisers, accountants or lawyers who support us in the fulfilment of our legal obligations or in safeguarding our legal or economic interests may similarly receive access to your data only to the extent that is necessary.

5. Identifying data and data security

5.1 When a user accesses the website, possible identi­fying data and other parti­culars may be stored. Hannover Re will treat this information as strictly confi­dential and reserves the right to use these data solely for statis­tical purposes. The Appli­cant and Job Portals of Hannover Re do not include any ActiveX elements. Cookies are used only for inter­active functions such as the Applicant Portal or for activation of the notifi­cation service "Job Subscription". All other cookies are deleted automa­tically when the Internet browser is closed. Personal data are always trans­mitted with SSL (Secure Sockets Layer) encryption.

5.2 Hannover Re does not guarantee the permanent availability of the website.

6. Erasure of data

Hannover Re points out that, as a general principle, an applica­tion is not erased during an ongoing applica­tion process. Hannover Re will store the data provided in connec­tion with the application process (cover letter, curriculum vitae, references, applica­tion form and the associated corres­pondence) for a period of six months after completion of an ongoing appli­cation process and subse­quently erase them.
If we do not receive fresh consent from you, your applicant account in the Applicant Portal will be deleted after six months. This also extends to any applicant profile that may be stored in the applicant pool.

7. What data protection rights – so-called data subject rights – can you assert?

You have the right to require access to the data stored on your person at all times. Inquiries may be addressed to the data controller responsible for data processing in connection with applica­tion manage­ment specified under Item 1.

Further­more, under certain circum­stances you may require the rectifi­cation or erasure of your data or do this yourself via the Applicant Portal. In addition, you may have a right to restrict the processing of your data as well as a right to receive the data that you have provided in a structured, commonly used and machine-readable format.

8. Right to complain

You have the option to complain to the afore­mentioned Data Protection Officer or a responsible data protection supervisory authority.

9. Right to object

If we process your data to safe­guard legi­timate interests, you may register your objection to this proces­sing with the data controller responsible for data processing in connection with applica­tion management ("Applicant Management") specified under Item 1 or with our Data Protection Officer at the address specified above or via e-mail, insofar as your particular situation gives rise to reasons that oppose data processing. In this case we will no longer process your personal data, unless we are able to demonstrate compel­ling legitimate grounds for the processing which override your interests, rights and freedoms or the processing serves the esta­blish­ment, exercise or defence of legal claims.

10. Amendment of the Data Privacy State­ment

If Hannover Re amends the Data Privacy State­ment, these amend­ments will be published on the website with the current date.
